RMA Innovations (“we”, “us”, “our”) is committed to protecting your privacy and handling your personal data in a transparent, secure, and lawful way in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR) 2003 (as amended).

This Privacy Policy explains what personal data we collect, how we use it, who we share it with, how long we keep it, and what rights you have. It applies to anyone who visits rmainnovations.co.uk, submits a form, joins our waitlist, requests a consultation, or otherwise interacts with us.

1. Who We Are (Data Controller)

RMA Innovations is the data controller responsible for your personal data.

2. Personal Data We Collect

We only collect data that is necessary for the purposes described below.

Data you give us directly

  • Name, email address, phone number (optional), property postcode/location (optional), message/project summary
  • When you submit a consultation request, waitlist form, or contact us

Data we collect automatically

  • Technical data: IP address, browser type/version, operating system, time zone, pages visited, time/date of visit, referral source
  • Cookies & similar technologies (see our Cookie Policy below)

Data from third parties

  • None at present (future: analytics providers like Google Analytics, if enabled, with consent)

3. How We Use Your Personal Data (Lawful Basis)

We only process personal data when we have a lawful basis under UK GDPR.

Our bases are:

  • Consent — when you explicitly agree (e.g., by submitting a form and typing your name to consent)
    • Sending beta updates, invites, or consultation replies
  • Contract / Pre-contract steps — when you request a consultation or service
    • Responding to your enquiry, providing advice, arranging calls
  • Legitimate interests — running and improving our business
    • Site analytics (anonymised), fraud prevention, service improvement
    • We always balance this against your rights and freedoms

We never sell your data or use it for unrelated marketing.

4. Who We Share Your Data With

We only share data when necessary and with safeguards:

  • Hosting / technical providers — Hostinger (servers in UK/EU)
  • Email/communication tools — our email provider (e.g., Google Workspace or similar — UK/EU servers)
  • Future partners — only with your explicit consent (e.g., contractors for matchmaking)
  • Legal obligations — if required by law, court order, or regulatory authority

All third parties are UK/EU-based or use UK GDPR-standard contracts.

5. International Transfers

We do not currently transfer data outside the UK/EEA. If we ever do (e.g., US-based tools), we will use UK-approved safeguards (IDTA or adequacy decision) and inform you.

6. How Long We Keep Your Data

  • Consultation/waitlist enquiries: kept for 2 years after last contact (legitimate interest / potential follow-up)
  • Beta waitlist: kept until you unsubscribe or we close the list (consent-based)
  • Technical logs (IP, etc.): anonymised or deleted after 6–12 months

7. Your Rights Under UK GDPR

You have the right to:

  • Access your data
  • Correct inaccurate data
  • Erase your data (“right to be forgotten”)
  • Restrict processing
  • Object to processing (including for direct marketing)
  • Data portability
  • Withdraw consent (where consent is the basis)

8. Cookies & Similar Technologies

We use essential cookies to make the site work (e.g., session management). No tracking/marketing cookies are used currently.

We use technical and organisational measures (SSL encryption, secure hosting, access controls) to protect your data. However, no system is 100% secure — we cannot guarantee absolute security.

10. Changes to This Policy

We may update this policy. Changes will be posted here with updated date. Significant changes will be notified via email (if we have your address).
